The Distribution Invoicing Coordination Specialist will be responsible for managing and overseeing the outsourced distribution invoicing processes carried out by an external service provider. This role ensures the accuracy, efficiency, and timeliness of invoicing flows, while serving as the key point of contact between the vendor and internal stakeholders. The role requires strong coordination, analytical, and communication skills to resolve disputes, monitor performance, and provide management with clear reporting on key metrics.

Key Responsibilities:

Vendor Support & Coordination
- Act as the primary liaison between the company and the outsourced invoicing service provider.
- Provide operational support to the vendor to ensure smooth processing of invoicing flows.
- Facilitate regular check-ins with the provider to track progress and address issues.
Dispute Resolution
- Coordinate the investigation and resolution of discrepancies, disputes, or errors in invoicing flows.
- Provide support to the vendor team in the analysis and resolution of the disputes.
- Ensure timely escalation and follow-up of critical disputes.
KPI Monitoring & Reporting
- Track and analyze key performance indicators (KPIs) related to outsourced invoicing processes.
- Identify areas of improvement and propose corrective actions where needed.
- Prepare and deliver regular reports to management on vendor performance, issues, and trends.
Continuous Improvement and systems testing
- Contribute to process optimization initiatives to increase efficiency and accuracy.
- Provide feedback to the external provider on quality and performance improvements.
- Support internal projects related to invoicing, distribution, and finance systems with recommendations and testing.

Qualifications & Skills:

Proven experience in invoicing, distribution, finance operations, or vendor management.
Strong analytical skills with the ability to interpret and present data clearly.
Excellent organizational and coordination abilities with attention to detail.
Strong problem-solving skills with a proactive approach to dispute resolution.
Effective communication and stakeholder management skills.
Proficiency in MS Office Suite (Excel, PowerPoint, Word); experience with ERP systems is an advantage.
