About Trinzo

Founded in 2016 and headquartered in Galway, Ireland, Trinzo provides expert consultancy and training solutions to Life Sciences organisations worldwide, helping clients navigate quality, regulatory, and operational challenges with confidence. Trinzo works with a growing network of associate consultants supporting clients across the MedTech, pharmaceutical, and biotech sectors.

The Role

This is a broad, hands-on generalist role at the centre of the business, combining people management, systems ownership, and direct support to leadership. The role does not require expertise in every tool or process from day one; it is built on resourcefulness, strong organisational skills, and the ability to learn new systems and processes independently. What matters most is the ability to pick things up quickly, manage multiple priorities simultaneously, and exercise sound judgement on when to act independently versus when to escalate. The role works closely with the finance team and the wider leadership team.

What You'll Do

Operations Management: HR, Admin & Finance

Lead and support the Finance team, setting priorities, managing workloads and supporting performance and development.
Coordinate a monthly finance reporting cycle with the Finance team and CEO, ensuring reports and forecasts are prepared and reviewed on time.
Build a working understanding of the company’s financial performance to highlight material variances, emerging cost pressures and risks to forecast assumptions.
Work with Finance and department leads to follow up on findings and support informed decisions on budgets, costs and future planning.
Own the company's vendor and payment card relationship for office subscriptions: manage subscription payments, track renewals, and review what's in use versus what can be cut.
Handle onboarding and offboarding admin for employees: system set-up, training, onboarding plans, and monthly check-in calls for new starters' first six months.
Check the shared team mailbox daily and triage into actioned / no action needed / follow-up.

Leadership Support

Schedule and manage monthly, quarterly and annual leadership meetings using Metronome: agendas, room booking, catering, and chasing leadership for inputs.
Check that quarterly priorities and metrics are populated correctly across the team, and follow up with anyone who's missing them.

Strategic Projects

Own longer-running, cross-functional projects that don't sit neatly in one team, for example office projects, communication projects etc.

Process Improvement, SOPs & Governance

Own the process for internal SOP’s, which includes tracking, creating, editing, and supporting other departments with their SOP’s.
Keep documentation, processes and versioning current as systems and ways of working evolve.

IT & Systems Support

Own or co-own a wide range of internal tools and subscriptions (including Metronome, Adobe Sign, Asana, Bitwarden, AWS, and others), from full ownership to prompting other people to act.
Track subscription renewals and liaise with vendors ahead of them; flag what's unused.
Monitor IT tickets and send a monthly IT report based on updates from the IT provider.
Hold SharePoint admin access and support colleagues with day-to-day SharePoint issues.

Office Management & Facilities

Main point of contact for office-related vendors (electrical/fire safety, cleaning, and building management/facilities), escalating where needed.
Keep the office running day to day; this role is onsite in Galway 3 days a week.

Events, Communications & Internal Engagement

Plan in-office and offsite events: locations, set-up, invites, food and beverages, timings.
Contribute to the weekly Comms Dashboard and help keep internal communications and team culture activities running.

Ad Hoc Requests

Supporting departments with locating documents, marketing materials, historical records, or company information.
Responding to leadership requests for research.
Costing of materials, systems and initiatives.
Support the facilitation of webinars.
Book travel and hotels when needed.
Schedule calls for others.
Troubleshooting access or system issues.
Compile presentations.

What We're Looking For

Experience in a similar generalist operations, office management, or executive/business support role, ideally from a small company or SME background where you're used to wearing a lot of hats.
Comfortable managing people, even informally: someone others come to for direction, not just task completion.
Organised and reliable with recurring, deadline-driven admin (subscriptions, reports, meeting cycles): nothing falls through the cracks on your watch.
Confident picking up new systems and tools without formal training: a self-starter who can figure it out and knows who to ask.
Comfortable being close to financial information and processes without needing a finance background: this is an oversight and coordination role, not a numbers role.
Clear, professional communicator, equally at ease with leadership, external vendors, and colleagues across the business.
Happy to be onsite in Galway 3 days a week.
Right to work in Ireland.

Why This Role Is Interesting

Real breadth. You'll touch HR, finance oversight, systems, leadership support, events, and facilities: a genuine view of how the whole company runs.
Real trust. You'll be the direction-setter for two finance team members and a close working partner to the leadership team from early on.
A supported handover. You'll have a recurring-tasks tracker covering daily, weekly, monthly, quarterly and annual responsibilities to work from.

Trinzo is an equal opportunities employer and is committed to an inclusive working environment.
