We are currently recruiting for a Document Controller to be based in the Galway region. This is a fantastic opportunity to join a prestigious main contractor and work with like-minded people on award winning multi-million-euro projects.

The Document Dontroller (DoC) is responsible for the timely, accurate and efficient preparation and management of all project documentation (drawings, schedules, contracts, specifications, data etc.). They control the numbering, sorting, filing, storing and retrieval of both electronic and hard copy documents produced by technical teams, projects or departments.

Key duties & responsibilities:

General Duties

• Ensuring access and training is provided to all required users.

• Delivering weekly refresher training.

• Ensuring information is easily accessible, current, and coordinated.

• Supporting the site team with:

- Batch downloading, printing, mark-up, and search functions.

- Receiving and accessing drawing upload notifications.

• Ensuring drawings:

Are named in accordance with the project naming convention.

Are issued at the correct scale, orientation, and format (DWG and PDF).

Include up-to-date registers with every revision, covering:

Drawing Title

Drawing Number

Drawing Revisions / Clouded Changes

Drawing Scale & Orientation

Dimensions and text

Updated Drawing Register

BCAR (Building Control Amendment Regulations)

• Prepare, organise, and submit all BCAR-related documentation to the Building Control Authority.

• Ensure submissions are completed within required timelines.

• Work closely with the Assigned Certifier, subcontractors, and design team to ensure documentation accuracy and compliance.

• Maintain a centralized BCAR repository for easy inspection access.

• Monitor and track BCAR submissions.

O&M (Operation and Maintenance Manuals)

• Compile, review, and finalize O&M manuals for client handover, ensuring accuracy and completeness.

• Use O&M Manuals – Home to standardize format and structure across projects.

• Coordinate with subcontractors and suppliers to gather documentation for O&M Manuals.

• Ensure manuals are submitted to clients within agreed timeframes post-completion.

Design Review Meetings (DRM)

• Assist with the fortnightly preparation, organization, and upload of DRM documentation

Professional Approach

• Work independently while recognizing when BIM / Design Manager input is required.

• Demonstrate determination, drive, and dedication in all project duties.

• Maintain weekly communication with Consultants, Clients, and Stakeholders.

• Exhibit initiative, control, and strong communication skills.

Minimum Qualifications

• BTEC in Building Studies, Building Engineering, or Building Management; OR HNC / HND / Degree in Construction Management or Architecture (with industrial placement).

• Minimum 1 year’s experience managing elements of construction projects.
