Job Summary

The MBA programme is delivered in partnership with Heriot Watt University who are the awarding body for the qualification. The MBA Programme Manager (PM), employed by Griffith College, will focus on maximising student recruitment and efficient delivery of the programme. The PM works closely with key stakeholders, the programme team, academic administration, marketing, industry, and class representatives to maintain high academic and service standards for both students and staff.

The PM is responsible for programme coordination, academic integrity, quality assurance, and pastoral care across assigned programmes. This includes oversight of learner performance and progression, teaching, learning. The PM contributes to the ongoing development of the College through active engagement in teaching, research, and academic leadership, with a commitment to excellence in education, learner support, and continuous improvement.

This is an ideal role for a commercially minded candidate with strong academic management experience.

Job Responsibilities

General

Deliver year-on-year increases in the programme’s market share nationally.
Identify opportunities to grow learner numbers on the programme.
Engage with activities leading to student recruitment.
Provide leadership by liaising with industry, maintaining & enhancing excellence in teaching, learning, academic integrity, and programme delivery.
Ensure an exceptional learner experience, supporting learner progression, retention, and overall satisfaction.
Participate actively in PD monthly meetings, internal departmental and multidisciplinary committees, as well as relevant external meetings.
Work effectively and collaboratively as part of an integrated team, demonstrating a commitment to educational quality, learner support, and service excellence.
Maintain compliance with Heriot Watt University Academic and Administrative requirements.
Provide input and feedback on curriculum and assessment, which are set and owned by the awarding body.

Teaching & Learning:

Encourage lecturers and the academic team to engage with students through virtual learning platforms and forums (e.g., Moodle).
Manage class recordings and monitor online engagement.

Students / Pastoral Care:

Act as a point of contact for all students, providing guidance and support for academic, pastoral, and administrative matters.
Meet with students to discuss performance, address problems and complaints, and advise on remedial or corrective actions.
Assist students with the election and engagement of class representatives, maintaining regular interaction to support effective learner representation.
Provide advice and support related to career development and work placements, where appropriate.
Direct students to relevant support services to ensure their academic and personal needs are met.
Monitor learner progression, retention, and attendance, maintain motivation, and ensure that those repeating or deferring re-engage with their programmes.

Programme Management

Have overall responsibility for Programme activities.
Ensure adherence to all relevant quality assurance policies and procedures related to programme management as per Heriot Watt University requirements and in accordance with approved validations and governing body requirements.
Support and participate in, where relevant, the recruitment, interviewing, and selection of lecturing staff to ensure maintenance of a suitable programme panel.
Ensure that delivery mechanisms are appropriate and effective for each module across all study modes, where relevant.
Participate in the collection, analysis, and review of feedback from lecturers and learners.
Complete the HWU partner annual monitoring report (PAMR), separate from the internal Annual Programme Report.
Meet regularly with line manager, programme team, students, and class representatives to address concerns promptly and effectively.
Monitor and provide academic guidance and support to programme team(s) and students as required.
Support lecturers in the delivery of their module(s) e.g. assessment adherence, pedagogy, Moodle, and academic integrity.
Manage academic year preparations, including timetabling, lecture recording processes, lecturer appointments, and induction activities.
Ensure timely preparation for examinations in collaboration with the HWU programme team.
Strengthen teamwork, communication, and collegiality among lecturers.
Overall responsibility for growing learner numbers on the programme.
Identify opportunities to expand the programme’s profile nationally, working with the marketing teams in Limerick and Dublin.

Administration

Organise additional tutorials or lectures, where appropriate.
Actively engage with relevant learner management systems and virtual learning environments to monitor learner progression and engagement.
Ensure programme timetables are accurate and correctly recorded using the College’s systems.
Liaise with Academic Administration, National and International Marketing, and other relevant staff regarding learner recruitment, access, transfer and progression, recognition of prior learning, registration, and examinations.
Attend relevant programme and College meetings and contribute to operational planning and decision-making as appropriate.
Ensure familiarity with and compliance with HWU and Griffith institutional policies.

Partnership Management

Act as the main point of contact between the College and HWU.
Attend partnership meetings and webinars related the Programme.
Ensure delivery remains compliant with partner regulations, branding and reporting requirements.
Manage data sharing with the partner in line with GDPR.
Maintain accurate records across both College and partner systems.

Dissertations (where relevant)

Manage the dissertation process for all learners, including delivering research modules and appointing and supervising dissertation supervisors and second readers.
Facilitate dissertation workshops, review dissertations with blind marking, schedule, and chair viva voce examinations.

Programme Management

Induction, Graduation and College Events

Contribute to the effective operation of the programme(s), including involvement in marketing initiatives, open evenings, inductions, graduations, and other key events.
Prepare for and assist with graduation events, including coordination with Faculty administrators and the graduation team.
Ensure smooth execution of ceremonies and participation in graduation preparations.
Promote the programme and College through appropriate outreach and engagement activities.

Minimum Qualifications / Experience Required

Typically possess an NFQ qualification one level above the level of the programme(s) or comparable experience in the relevant discipline.
Student recruitment experience is an advantage.
If not already held, commit to advancing teaching and learning practice through a recognised teaching and learning qualification (e.g., the College’s Level 9 Certificate in Education, Learning and Development programme).
Lecturing experience in higher education is preferred, ideally including previous experience in programme management.
Knowledge and practical experience in the relevant subject area is preferred, with enthusiasm and commitment to teaching and academic development.
Demonstrated ability to contribute to the ongoing enhancement of College’s reputation for academic excellence.
Excellent interpersonal, written, and verbal communication skills.
Strong organisational and time management skills, with meticulous attention to detail.
Commitment to educational quality, learner support, and customer service.
Ability and willingness to work effectively as part of an integrated team.
Other management experience in education, industry, or related contexts is desirable.
Must be legally entitled to work full-time in Ireland for any employer.
